Faculty-Led Program Development/Approval Process and Timeline
This process and checklist outline the key steps for faculty members interested in developing and leading a study abroad program at 体育菠菜大平台. Following this process ensures compliance with NU Policies and contributes to the success of the program.
NB: When developing faculty-led study abroad programs, faculty should aim to keep costs manageable for students by designing programs that allow for the generation of credit hours at the host institution. These credits can then be transferred to 体育菠菜大平台 through the Pre-Departure Credit Agreement Form from the Registrar’s Office. Ensuring that the courses align with degree requirements and are pre-approved will help reduce program costs while maintaining academic integrity.
1. Initial Proposal Submission (6-12 months prior)
- Target Audience: Identify the student population that would benefit from the program.
- Department Chair: Present the proposal to your department chair for feedback and preliminary approval.
2. Budget Planning (6-9 months prior)
- Create a Budget: Use the budget planning sheet developed by the 体育菠菜大平台 finance office. Include all costs (program fees, accommodations, meals, airfare, excursions, in-country transportation, faculty expenses, 体育菠菜大平台 tuition etc.).
- We recommend consulting with the Finance Office, for matters concerning student payments and outgoing payments to partners.
3. Department and University Review (6-9 months prior)
- Departmental Approval: Obtain formal approval from the department based on the academic alignment and program goals.
- Submit to Study Abroad Office (OSA): The proposal must be reviewed by OSA to ensure feasibility and adherence to university standards.
- Risk & Safety Review: Consult the university’s risk management office to assess health, safety, and legal considerations for the chosen destination.
4. Marketing & Recruitment (3-6 months prior)
- Promotion: Work with OSA to create promotional materials, including flyers, brochures, and online content. Ensure consistent communication with students.
- Information Sessions: Organize outreach events to provide students with program details, supported by OSA.
- Advising: Collaborate with academic advisors to help students understand how the program fits into their degree requirements.
5. Final Approvals (3-5 months prior)
- Academic Review: Submit the program for approval by relevant academic committees.
- Final OSA Approval: Obtain OSA’s final sign-off, ensuring all risk management and budgetary processes are complete.
- Complete travel insurance form with list of students to submit to 体育菠菜大平台 Business Office.
6. Program Logistics (2-3 months prior)
- Finalize Itinerary: Confirm all travel logistics, including accommodations, excursions, and in-country travel arrangements.
- Emergency Planning: Review 体育菠菜大平台 Study Abroad Crisis Management and fill out Local Emergency Information Form.
- Pre-Departure Orientation: Conduct a detailed orientation to prepare students for travel, covering academic, cultural, and safety-related information – OSA can assist.
7. Post-Program Reporting (1-2 months after return)
- Program and Experiential Learning Assessment: Collect student feedback and conduct a program evaluation to identify successes and areas for improvement.
- Report to OSA and Department: Submit a final report to both OSA and your department, summarizing the outcomes and lessons learned from the program.
